BikeMaine Ride Director – Job Description

BikeMaine is a new project of the Bicycle Coalition of Maine (BCM) – a week-long mass bicycle ride designed to celebrate cycling and rural Maine communities. Each year riders will explore a different part of Maine, camping in local host communities and enjoying the camaraderie of a rolling community of experienced cyclists traveling four hundred miles over seven days. The inaugural ride will be September 7-14, 2013 and will be limited to 350 riders.  We expect to grow the ride to 2,000 riders within ten years. BikeMaine will provide financial support to host communities through the purchase of meals, other services and a community grant program supporting local bicycle infrastructure projects while also generating financial support and awareness for BCM and its programs.

Position Description: BikeMaine Ride Director
The Ride Director will be responsible for the design and implementation of the BikeMaine Ride Plan in conjunction with the BikeMaine Ride Committee, supervision of staff, recruitment and coordination of volunteers, oversight of budget, day to day operations of the BikeMaine office, public relations, fundraising, writing and editing manuals, handbooks and newsletters and other duties as assigned.

The Ride Director will be the lead staff person for the BikeMaine event, supervising other BikeMaine staff and volunteers. It is anticipated that the Ride Director and staff will also assist BCM on a limited basis in the planning and execution of BCM events. The Ride Director will work closely with the BCM Executive Director who will provide day-to-day supervision of the position. The Ride Director will work closely with the BikeMaine Ride Committee (a special committee appointed by the BCM Board of Directors) and its subcommittees in all aspects of the planning and execution of the Ride.

Initially, it is anticipated that the full-time Ride Director will have limited part-time staff support. As BikeMaine grows in ridership, the staff will grow although we anticipate that much of the “staff support” for the Ride will continue to come from volunteers, including the Ride Committee, its’ sub-committees and other BikeMaine volunteers. Initially, we anticipate the Ride Director will be involved in all aspects of the event and over time (perhaps in year three or four), the position will evolve to more of supervisory and strategic direction for the event with additional staff and an established structure of volunteers supporting the Ride.

Breakdown of responsibilities in each area with estimated percentage of time, list of tasks and skills/knowledge required to perform tasks follows:

Ride Organizer/event manager – 50%

  1. Arrange and coordinate all aspects of BikeMaine Ride in coordination with Ride Committee and volunteers. This includes but is not limited to: development of the annual ride plan; design and document route; liaison with host communities for the design and planning of each encampment and related host community activities; event registration; coordination of event logistics, (vendors, bicycle shops, information booth workers, luggage support, public safety support, maps, etc.); coordinate volunteers, including position design, recruitment, training and recognition.
  2. Ability to effectively organize efforts of many people, experience in planning and managing special events. Ability to design tasks and delegate responsibility, possess interpersonal skills to deal with volunteers.  Ability to act quickly and creatively when faced with new problems. Strong interpersonal and organizational skills required. Ability to develop job descriptions, operating manuals, design schedules and systems to provide a first class ride.  Knowledge of bicycling and bicycle safety. Ability to read and interpret maps, coordinate information, and work with local officials. Familiarity with the State of Maine.

Program Administrator – 30%

  1. Oversee management of the BikeMaine office and staff. Develop annual budget (approved by BikeMaine Ride Committee). Track expenses, bill payment, purchase of services and materials through competitive bids (food service, trucks, toilets, showers, etc.). Write monthly reports. Liaison with state and local government departments and host communities. Participate in BikeMaine Ride Committee and sub committee meetings. Manage grant funding requirements including adherence to grant provisions and reporting. Work with contracted grant writer to develop and implement annual fundraising plans. Provide support to BCM staff for BCM special events as time allows.
  2. Demonstrated successful experience in managing a staff and office, knowledge of purchasing procedures, budgeting and financial management.


Writer/editor and marketer – 20%

  1. Write/update manuals, handbooks, guidelines, newsletters, web content. Work closely with marketing agency on logos, brand development, copy, promotion of sponsors, maintenance of web pages and online registration, online presence, social marketing strategy and ride publicity.
  2. Proven ability as an effective oral and written communicator, knowledge of online and social media marketing strategy, ability to manage marketing contracts, knowledge of special event marketing strategies, ability to organize material in a clear and concise manner.
